PGP Personnel Committee Minutes

PGP Personnel Committee Minutes (Draft)
Community Room, EWEB Building, Eugene
Noon, November 9, 2003

Members in attendance:
Daniel Bonham Michael Sonnleitner
Joanne Cvar Liz Trojan
Non-members:
Delbert McCombs, Treasurer
Seth Woolley, Secretary

Total cost of want ads for fundraiser position was $124.88 billed to Joanne Cvar, plus $50 billed to the party. The PGP Personnel Committee requests that Delbert pay for the ads to Joanne and the other $50 to Trey for the ad in the PeaceWorker.

The PGP Personnel Committee approves two previous sets of minutes, for the phone conference meeting on September 12 and the meeting in Eugene on October 12, 2003.

The Committee was reminded to do an employee evaluation with Delbert. Joanne has an evaluation format based on his job description that the previous Personnel Committee discussed doing differently, then never did anything. She said she would send it around for comment. It was suggested that we need to have a closed-door meeting with Delbert, although an evaluation by e-mail first would be ok. There is probably no wage increase tied to this evaluation (due to our low finances), so it should be a mutual evaluation between employee and employer. Delbert would need a chance to answer questions and rebut criticisms if needed. Average numerical ranking was questioned. Joanne has the job description for the treasurer’s position, but has never seen the contract.

***
Delbert will look for his contract and mail it to Daniel. The contract was not exactly followed, he noted. If he were to work from home, he might need a new computer, for example.
*****
The Personnel Committee agreed to meet with Delbert for the mutual evaluation no later than the first meeting in January.

The Committee discussed the applicants as of November:
Betsy Cunningham, Glide, Douglas Co. (only one that followed all directions) – Daniel will contact

Amanda Lewis - Richland, Indiana (College), moving back to Portland, Michael will interview her during Thanksgiving week, when she will be in Portland.

Helen Cotton Leiser - Portland, wanted 28,000 per year.
Liz will call her.

Patrick Carrico - Portland
Michael will call him.

Valerie Goodness- Astoria
Not considered (due to Joanne’s concerns) Michael will call her. (?)

Donna Frazier John Exline - Eugene
Not considered (due to Daniel’s concerns)

Scott Lee Sharp- Portland?
Liz will call

Angel Scott - ?
Daniel will contact her

Steven Shore - Portland
Joanne will contact him for an electronic copy of his application materials

Daniel answered Joanne’s concerns about the applicants’ writing ability by saying that fundraising letters will be written by a committee of Blair, Marnie, Daniel, and the new fundraiser.

Joanne insisted on application materials, including a good resume and the application form with satisfactory answers to the six questions.

Dec. 1 is the cutoff date.
Dec 5, 5 PM is the deadline for ranking the applicants, with replies due
by Dec 7, midnight. PC members are to decide on four people to interview on Sunday the 14th and Daniel will call them on the 8th. We may be able to interview Amanda on videotape. No one was designated to call references.
Daniel noted that $28,000 annually for a professional fundraiser may not be reasonable, and we may need to adjust the salary based on income coming in.

PC meeting adjourned at 1 P.M.
